Choose the Share and Open Options
As the owner or co-owner of a Trusted Share, you can require recipients to accept Terms of Use (set by your organization) before accessing shared content. To enable this option, navigate to My Shares and open your Trusted Share and Click the Options button in the toolbar.
Note: You can make the changes below only if permitted by your organization’s policy.
2. Enable Require Terms of Use
Under Applied Policy → Authentication, enable Require Terms of Use. This ensures recipients accept the selected Terms of Use before they can access shared content. Once enabled, you’ll see additional options to configure when Terms of Use are displayed and which Terms of Use to apply. These settings are defined by your organization.
3. Set Frequency for Displaying Terms of Use
Open the dropdown under On Trusted Share Access to select display frequency:
Never – Terms of Use are not displayed.
Only Once – Recipients accept once on first access.
Once per Browser Session – Recipients accept once per new browser session.
4. Select Terms of Use for Trusted Share Access
Select the appropriate Terms of Use from the dropdown for Trusted Share access. These options are defined by your organization. Contact your organization eSHARE administrator for details about each Terms of Use.
5. Set Frequency of Terms of Use for Each File
You can also apply Terms of Use to each file within the Trusted Share. Select the desired frequency for how often Terms of Use should be displayed for file access.
6. Select Terms of Use for File Access
Select the appropriate Terms of Use from the dropdown for individual file access. You can choose the same Terms of Use for both Trusted Share access and file access.
7. Choose Terms of Use for Downloaded Files
You can download files as PDF with Terms of Use displayed on the first page by enabling this option. This is useful when sharing files separately while ensuring Terms of Use acknowledgement.
8. ZIP Downloaded Files with Terms of Use
Enable this option to download all files as one ZIP package with a Terms of Use cover page at the beginning. This helps when sharing all files as a single download with clear acknowledgement of Terms of Use.
9. Click Save
Save all changes made to file access and download options.
