Email Tracing Report Enhancements
The Power BI based Mail Trace Report that is published by eSHARE for use by administrators who oversee the eSHARE Secure Mail Gateway has been enhanced based on client feedback. In this release we have:
Update the email subject definition to resolve the bug where “(no subject)” appears in certain problematic cases.
Exclude automatic confirmation of emails from the report view to reduce spam and improve clarity.
Updates to eSHARE Trusted Sharing for M365 App
In a prior release of the Cloud Web Portal, we provided controls over the generation of email notifications for messages, activities and requests/actions. In Release 2025.12.0 we have updated the eSHARE Trusted Sharing for M365 App (aka M365 App) to include complimentary features.
Unified Notification Feed: All notifications, Actions & Requests, and Messages, are now consolidated into a single Activity section in the M365 App.
Advanced Filtering & Search: Users can now 1) filter by notification type and state (e.g. unread, messages, activities) and 2) search using keywords (e.g., Trusted Share and user name).
Unread Notification Indicator: An unread notification count is displayed in the Activity section.
Persistent Trusted Share Button: The Trusted Share action button remains visible when navigating the Activity section.
Notification Management Wizard for New Users: Users who have not created a Trusted Share will be presented with a notification settings wizard when first accessing the M365 App. This allow users to control notifications sent based on Activities, Actions & Requests, and Messages. These settings override organizational defaults.
Note that the updated M365 App is identified as version 1.13.9.0. A date-based version number (e.g., 2025.12.0) will be applied in the next release.
Bug Fixes
All of the issues below have been corrected:
Users on the Government version of eSHARE experienced issues sending emails from Windows Outlook desktop because the Secure Email add-in stalled during processing and failed to complete. The root cause was traced to connectivity issues with https://outlookpep.e-sharegov.us. These have been resolved, ensuring stable add-in performance across desktop clients.
A single organization’s sensitivity label data synced from Microsoft Purview was deleted, impacting sharing policies. The consent toggle for Document Labels APIs was unexpectedly turned off after the original Global Admin account was removed. Label data has been restored and safeguards are now in place to prevent accidental consent revocation.
Some users encountered “send” errors in Outlook Classic for Windows, suspected to be caused by Microsoft Defender blocking processes. Configuration adjustments and compatibility fixes have restored normal sending functionality.
Override domain restriction notifications were not sent when overrides were performed via the eSHARE Trusted Sharing for M365 app or the eSHARE M365 Trusted Sharing Action Menu. Notification logic has been updated to ensure consistent delivery across all override methods.
Trusted Shares created from SharePoint sites that are not explicitly linked to eSHARE, using the eSHARE M365 Trusted Sharing Action Menu and its “External Link” menu selection, allowed owners to view content, but recipients could not. Permission handling has been corrected so recipients can access content regardless of whether the SharePoint site is explicitly linked or not.
Users creating shares via eSHARE Trusted Sharing for M365 app or the eSHARE M365 Trusted Sharing Action Menu were unable to upload file or folder links at the top level (error displayed), and upload was disabled at sub-level folders. Permissions and UI logic have been updated to allow uploads at all levels.
Trusted Shares created by shared mailboxes were not assigning correct owners (e.g., group owners were missing). Ownership assignment logic has been fixed to correctly map shared mailbox owners.
The Secure Conversations Signature feature required manual entry of user details (First name, Last name, email, phone) despite these being available. Auto-population has been implemented to streamline the user experience.
