Managing Organization Trusted Shares

This document describes functionality available to eShare Administrators from the Organization Shares page in the Admin console.

Accessing the Organization Shares Page

There are situations where an eShare administrator will need to manage or access Trusted Shares created within the organization. To support these types of situations, an administrator can do so from the Organization Shares page within the Admin Console.

From the Organization Shares page, an administrator can perform the following actions:

  • View listing of all Trusted Shares found throughout the organizations.

  • Search or filter for specific Trusted Shares by Trusted Share Name, Creator Name, Creator email, Recipient Name, or Recipient Email.

  • Manage Recipient Lists of Trusted Shares, including adding new recipients, disabling recipients, promoting/demoting internal users as co-owners, and transferring share ownership.

  • Disable Trusted Shares

Search for Trusted Shares Created in the Organization

From the Share Management Page, an administrator can search or filter for specific trusted shares that have been created. To do so, click the dropdown menu in the search bar and in the expanded menu, select the correct search criteria. You can then enter keywords into the search bar and click enter to execute the search to locate the Share in question.

Selected Policy Options for created Trusted Shares

Administrators also could view the policy options that were applied to a given Trusted Share. An administrator must locate the trusted share, select it in the Share listing, then select the Options button in the top ribbon. The trusted share options menu will appear on the right side of the screen, from this window the administrator can view the applied policy options in the “Applied Policy” tab, or can view the Policy that was originally applied upon creation on the “Organization Policy” tab.

Managing Recipients of Trusted Shares

Administrators can view and manage recipient lists of Trusted shares from the Organization Shares page. After locating the Trusted Share, select the Manage Recipients button in the top ribbon, this will show current Owner, Co-owners, and recipients of the Trusted Share. From this menu, Administrators can perform the following actions:

  • Disable Recipients access to the Trusted Share

  • Promote an internal Recipient as a co-owner for the Trusted Share*

  • Transfer Ownership of the Trusted Share to an internal Recipient/Co-owner**

  • Add additional Recipients to the Trusted Share

* Only internal users can be promoted as a co-owner of a share, external recipients cannot be co-owners. Additionally, a notification will be sent to eShare administrators that an Admin promoted or demoted a users co-ownership.

** To transfer ownership of the share, the recipient must be an internal user, and they must be a member of the SharePoint site the Trusted Share was created from. Shares created from OneDrive cannot have ownership transferred.

Accessing a Trusted Share as an Administrator

There are cases where an administrator needs to access a Trusted Share that was created by a user. To accomplish, the administrator should locate the share they need access to and open the Manage Recipients menu. Next, select the add recipients button in the top right corner, fill out the administrator’s email address, and save the change, this adds the administrator as a recipient. If required, promote the administrator’s account as a co-owner, then click the Trusted Share name from the Share listing to access the share.

Disabling all Access to a Trusted Share

As an administrator, you could disable all internal and external recipient access from a trusted share with one button click. The Administrator must select the Trusted Share they would like to disable, then select the Disable All option in the top ribbon, this will disable access for all internal and external recipients (except for the Share Owner).
