Create a Trusted Share from Teams using eshare bot

This article explains how to use the eSHARE Bot in Microsoft Teams to create Trusted Shares directly within your chats and meetings. When a SharePoint or OneDrive link is pasted into a chat that includes an external user, the bot automatically converts it into a Trusted Share so all participants can access the content securely. The following sections are covered:

REQUIREMENT:

The eSHARE Bot must be installed and configured by your Teams administrator before this feature is available. Contact your administrator if you do not see the eSHARE Bot in Teams.

Overview

The eSHARE Bot extends Trusted Sharing into Microsoft Teams 1:1 chats, group chats, and meeting chats. When an organization user pastes a SharePoint or OneDrive link into a chat that includes at least one external user, the bot detects the link and automatically creates a Trusted Share so that external participants can access the file securely — without requiring a guest account or any out-of-band sharing. The first time the eSHARE Bot is triggered for your account, it requires a one-time personal consent before it can act on your behalf. This consent is requested through a 1:1 chat with the bot.

The bot operates in two modes:

  • Automatic mode: When a native M365 link is pasted into a pending message in a chat with external users, the bot intercepts it and prompts the user before the message is sent. The user can proceed to create the share or cancel.

  • Manual mode (Convert Links).: A 'Convert Links' option is added to the chat message action menu. This allows users to create or update a share from a link that already exists in a previously sent message — for example, if the bot was installed after the message was sent, or if an external user joined the chat after the original link was shared.

Note:

  • Teams channel posts are not supported. The bot operates only in 1:1 chats, group chats, and meeting chats. All shares created by the bot use the sharing policy assigned to the Access Link module in your organization.

  • Only one Trusted Share is created per chat. If a share already exists for a chat and you paste additional links, the bot updates the existing share rather than creating a new one — unless you cancel the action. All chat participants at the time of creation are added as share recipients. Users added to the chat after the share is created are not automatically added; they will be evaluated for share access when they use the link, based on the applied sharing policy.

The 'Convert Links' action allows users to create or update a Trusted Share from a link that is already in a previously sent message. This is useful when the bot was not installed at the time the message was sent, or when an external user is added to a chat after a link was already shared.

  1. In the chat, locate the previously sent message containing the SharePoint or OneDrive link you want to convert.

  2. Hover over the message. Click the ellipsis ('...') that appears to open 'More options'.

  3. Select 'Convert Links' from the action menu.

  1. The eSHARE Bot inserts its notification card into the existing message. This card is identical to the one shown during automatic share creation. The share is created or updated to include the linked items from that message.

Note:

'Convert Links' operates on a single message at a time. If links that need to be added to the share are spread across multiple messages, run 'Convert Links' on each message individually. Links from messages that pre-date the creation of a share are not added to the share automatically.
