External Share Action Menu App allows users to create Trusted Shares from the action menus M365 provides when a file or folder is selected from within Teams, SharePoint Online and OneDrive. Once the app is installed, all users will have access to eShare across all Teams channels, SharePoint sites and OneDrive. Your eShare Customer Success Manager will work with you to ensure your data protection and governance policies are satisfied when the Action Menu is in use.
REQUIREMENT:
The Person performing these steps must have an administrator role assignment of Application Administator, Cloud Application Administator, or Global Administator in the destination M365 tenant.
Install the Action Menu Enterprise Application
Login to the Entra Identity Portal as an Administrative user (For Commercial Customers: https://entra.microsoft.com | For Government Customers: https://entra.microsoft.us).
Under the ‘Entra ID‘ dropdown in the left Navigation pane, on the ‘Overview’ page, find and copy the Tenant ID.

Open a new browser Tab/Window in the same session, enter the following URL while replacing the ‘{tenant_id}‘ section with your Organization’s Tenant ID.

When prompted, sign in to the M365 admin account, an App called ‘File Handler‘ (commercial cloud) or ‘Gov-Prod-File-Handler‘ (government cloud).
Review the requested permissions and select ‘Accept‘ to add the application.

After the app has been approved, the page will be redirected to a screen indicating the Trusted Sharing Action Menu application has been successfully Installed.

To ensure the application was successfully installed, go back to ‘Microsoft Entra ID‘ > ‘Enterprise Applications‘, then perform a search for ‘File Handler‘ or ‘Gov-Prod-File-Handler‘ and verify the application exists.


Note: It may take up to 48 hours for the ‘External Share’ and ‘External Link’ menu button to appear across your Microsoft tenant.
Using the Action Menu Application
After adding the Enterprise Application, you will begin to see the ‘External Share‘ and ‘External Link‘ buttons across the OneDrive, SharePoint, and Teams platforms. This next section outlines where the buttons will be accessible across the Microsoft Platform.
TIP:
If a user does not see the button in any of these locations, have them sign out of M365, clear the browser cache, reload the page, then sign back in.

When the “eShare” button is selected, a new Tab will open within your browser where you can enter the necessary information to create your Trusted Share. This form is identical to what you would see were you to create a Trusted Share through all other means (e.g., eShare Cloud Web Portal).

Once the Trusted Share is created, the page will show a ‘Trusted Share Created!’ message and will presented with 2 buttons:
Open Share - Opens the newly created Trusted Share in either the eShare M365 App or the eShare Cloud Web Portal.
Get shareable link - Copies a link to the newly created Trusted Share which can be shared via emails or direct messages to the added recipients or new recipients.
